Agree on the stages that match your operation: received, reviewed, in production, decorating, ready and fulfilled. A useful status tells the next person what happens next. Define who can update it, what should happen if an order changes and which updates customers should receive.

Late changes, incomplete design details and missed pickup times need a clear owner. Decide how staff flag an exception and how it affects the preparation schedule or promised window.
